Sample Interview Questions and Answers

Question 1: You are tasked with reviewing a payment request for a forest resilience project that involves prescribed fire. The request includes a category called 'Firefighting Equipment' with an expense of $10,000. However, upon further review, you notice that the project manager has submitted this expense under the wrong fiscal code. What steps would you take to resolve this issue?

I would first verify the accuracy of the expense by checking the contract and program manager records to ensure that it is indeed related to the forest resilience project. I would then contact the project manager to inform them of the mistake and ask for their clarification on why they submitted the expense under the wrong fiscal code. Once the correct code has been identified, I would update the payment request accordingly and submit a corrected version for approval. To prevent such errors in the future, I would also recommend revising our tracking mechanisms to include a review step for fiscal codes before submitting payment requests.

Question 2: A report is due to management on the financial performance of the Forest Resilience Division's projects over the past quarter. However, upon generating the report, you notice that there are discrepancies in the budget allocations and actual expenses across different projects. What steps would you take to investigate these discrepancies and what metrics or analyses would you use to present your findings?

Firstly, I would verify the accuracy of the data by cross-checking it with our accounting software and other relevant sources. To identify the root cause of the discrepancies, I would conduct a detailed analysis of the budget allocations and actual expenses across different projects, including variance analysis and ratio analysis to assess any anomalies or trends. I would also consult with project managers and finance staff to gather more information on the projects' specific needs and timelines. Based on my findings, I would present the results in a clear and concise manner using graphs, charts, and tables to facilitate understanding of the financial performance and recommendations for improvement.

Question 3: A new accounting software is being implemented across the Department, which requires all users to undergo training and familiarization. As a Fiscal Analyst 2, you are tasked with assisting in this transition process. What steps would you take to prepare yourself and others for the software implementation, and how would you ensure a smooth transition from the current system?

To prepare myself and others for the software implementation, I would first review the new accounting software's features, functionalities, and user interface to familiarize myself with its capabilities. I would then attend the training sessions offered by the vendor and participate in hands-on exercises to gain practical experience. Additionally, I would schedule regular meetings with finance staff and project managers to discuss any questions or concerns they may have regarding the new system and provide guidance on how to use it effectively. To ensure a smooth transition from the current system, I would assist in configuring the new software according to our department's specific needs and develop workflows and procedures for data entry, reconciliation, and reporting to minimize disruptions during implementation.
