Sample Interview Questions and Answers

Question 1: Can you explain how you would ensure that administrative operations within the Division are in compliance with agency policy and procedure?

To ensure compliance with agency policy and procedure, I would first review and familiarize myself with relevant policies and procedures. Next, I would conduct regular audits of administrative operations to identify any areas for improvement or potential non-compliance. This could involve reviewing documentation, observing daily operations, and speaking with employees to understand their roles and responsibilities. If I identify an issue, I would work with the management team to implement corrective actions and ensure that all employees are trained on updated policies and procedures. Additionally, I would maintain accurate and detailed records of administrative operations, including any changes or updates made to policies and procedures. This would enable me to provide clear and concise answers to internal and external stakeholders about Division's compliance with agency policy and procedure.

Question 2: How would you handle a complex determination of firearm possession eligibility, where multiple sources of information are conflicting?

When dealing with conflicting information in a complex firearm possession eligibility determination, I would follow the established procedures for verifying data sources. This involves re-checking all relevant records and databases to ensure accuracy. If necessary, I may also reach out to external stakeholders such as law enforcement or court officials to verify information. Additionally, I would consult with subject matter experts within the Division to gain a deeper understanding of the case and provide guidance on resolving conflicting information. In situations where additional information is required, I would work closely with FBD personnel to obtain any necessary documentation or clarification from external sources. Throughout the process, I would maintain clear and concise records of all interactions, notes, and determinations made.

Question 3: Can you explain how you would balance multiple priorities and deadlines in a fast-paced administrative environment?

In a fast-paced administrative environment with multiple priorities and deadlines, I believe it's essential to prioritize tasks based on urgency and importance. To achieve this, I would use tools such as calendars, to-do lists, or project management software to organize and track progress. Regular communication with the management team and other stakeholders is also crucial to ensure that everyone is aware of their roles and responsibilities in meeting deadlines. Additionally, I would focus on completing tasks efficiently and effectively while minimizing distractions. If needed, I may also delegate tasks to colleagues when possible and ensure clear understanding of expectations and timelines. Maintaining a positive attitude, staying adaptable, and being proactive in identifying potential roadblocks are key factors for me in achieving success under pressure.

Description

If you answer YES to any of these questions this is the perfect opportunity for you!
  • Are you a self-starter with an interest in providing administrative support?
  • Do you thrive in a team environment?
  • Do you want a position with career growth opportunities?

About the Agency:
The WSP actively supports Diversity, Equity, Inclusion in the workplace, and is an Equal Opportunity Employer. The WSP strives to create and foster an inclusive culture inspiring everyone to be their authentic selves, speak openly, and be courageous. The WSP continues to focus on equitable hiring, training, and promotional practices and policies through innovative recruitment and retention solutions. Partnering with our communities helps the WSP provide the best in public safety services now and into the future.

About the Division:

The Firearms Background Division (FBD) was established by RCW 43.43.580 to be a centralized point of contact for firearms background checks. FBD provides firearm eligibility background check services to Federal Firearms Licensees (FFLs), WSP and non-WSP evidence officers releasing a firearm from evidence or safekeeping, and Prosecuting Attorneys Offices for Restoration of Firearm Rights petitions, as well as entering qualifying court orders prohibiting firearm possession into the National Instant Criminal Background Check System (NICS) Indices.

The Secure Automated Firearms E-Check (SAFE) system is used to process the submissions from FFLs, evidence officers, and prosecutors, providing an efficient and robust platform for FBD Employees to use to make their eligibility determinations. The Division is comprised of three sections:
  • The Quality Assurance and Training Unit (QATU) is responsible for all the training for the Division in how to conduct a firearm background check, keeping trained employees up to date on any statutory changes, and providing subject matter expert guidance

  • The Research: In-State (RIS) teams are responsible for researching data sources for in-state background checks, incoming requests from firearm dealers, evidence officers, and prosecutors and provide direct customer interaction with those users.

  • The Research: Out-of-State (ROS) teams are responsible for researching data sources for out-of-state background checks, as well as processing appeals of denials, working with courts, attorneys, and appellants.

FBD team members use extensive and authoritative knowledge of state and federal laws (RCW 9.41, 18 USC 922, and 28 CFR Part 25), policies, rules, and procedures to perform complex determinations of firearm possession eligibility in order to render a final decision on an individual’s constitutional right to possess a firearm. Members of both units share responsibility of making entries into the NICS Indices for court orders, or when non-fingerprinted prohibiting events are discovered during the course of a background check.

RCW 9.41.041(3)(d) requires County Prosecutors to obtain written verification from WSP that a petitioner for a restoration of firearm rights petition would be eligible should the petition be granted. This statute requires FBD personnel to perform essentially the same background check that an individual would undergo if they were to transfer a firearm, and report back to the prosecutor prior to the restoration petition being presented to the court.
