Sample Interview Questions and Answers
Question 1: Describe a time when you had to redact sensitive information from a public records request. How did you ensure that all relevant data was properly removed?
In my previous role as a Public Disclosure Coordinator, I recall a situation where we received a request for financial records that included social security numbers of employees. To ensure compliance with the Public Records Act, I carefully reviewed the documents and redacted any sensitive information using our agency's standard procedures. I made sure to only remove necessary data while maintaining the integrity of the document. For instance, I replaced SSNs with 'XXXX-XX-XXXX' or removed them entirely if they were not relevant to the request. I also verified with my supervisor that all redactions met the requirements set forth by the Public Records Act and our agency's policies. After completing the redaction process, I submitted the documents for review by our team leader before releasing them to the requester.
Question 2: Walk us through your experience with document management systems like SharePoint and OneNote. How do you ensure that files are accurately organized and easily accessible?
As a seasoned office administrator, I've had extensive experience working with document management systems such as SharePoint and OneNote. In my previous role, I managed the agency's SharePoint site for our department, where I ensured that all documents were properly organized into relevant folders, tagged with metadata, and made accessible to authorized personnel. I also regularly reviewed and updated the site's structure to reflect changes in policies or procedures. When it came to OneNote, I used it to create notebooks and sections for specific projects, collaborating with team members through shared notebooks and keeping track of meeting minutes, notes, and action items. To ensure that files are easily accessible, I make sure to follow established naming conventions, use clear and descriptive labels, and regularly back up data to prevent loss in case of system failures.
Question 3: Imagine you're tasked with assisting a colleague who's struggling to locate specific records for a public disclosure request. Describe your approach to identifying the relevant documents and providing them to the requester.
In this scenario, I would first ask my colleague about the details of the request, such as the timeframe, locations, or individuals involved, to better understand what we're looking for. Then, I'd collaborate with our team to develop a search plan that would cover all possible sources and systems where these records might be stored. We'd conduct thorough searches using tools like Google, SharePoint, and OneNote, while also reviewing physical files and document storage areas. Once located, I'd ensure the documents are properly reviewed for redactions, if necessary, before releasing them to the requester. Throughout the process, I would communicate regularly with both my colleague and the requester about any issues or delays, providing clear explanations and timelines to maintain transparency.
